How to Import Bulk Extensions

Creating bulk extensions is useful when Configuring your Phone System, this setup is very similar to the PBX in a Flash Bulk Extensions. To begin download the 3CX Bulk Extensions .csv file and start creating your extensions.

Creating the CSV

  • *If you are using Microsoft Office 2013, you may need to Format Cells so that the zeros are shown inside the cell.
  • If you are re-creating extensions that are already on the system, then the row will be skipped.
  • It is expected to see a error Line 1 due to the column headers, this message can be ignored.
  1. To begin: Click on the ExtensionsTab
  2. Next click on the Import ExtensionsTab, here we will select the CSV file we have just created.

Managing DID's

Assigning additional DID's

To enter an additional DID(s) you should go to the VoIP Provdiers and select the DID tab. Next enter your DID then Add then Apply. Adding additional DID's will automatically create an inbound rule for those numbers. From there you can cutomize the destination where the DID will ring during office hours, and off.

After assigning the additional DID's, a route will need to be created within the Source ID Tab. To begin enter:

Next we will enter our second DID, this is done by creating entering the information inside the Source ID tab. To begin enter:

  • SIP Field: From: User Part
  • Variable: Custom Field (Enter DID)

After entering the above information select Add/Update then Apply

Next Check the Source identification by DID, and in the drop down box select Request Line URI: User Part then select the additional DID to be assigned.


Formatting the Outbound Caller ID

Having the ability to change the outbound DID for the trunk is a an essential feature for companies who want to maintain a specific DID for all calls. This will allow extensions to make outgoing calls and show the Main Caller ID even when they are calling from an extension, or away from the office.

Changing the outgoing DID is done by geoing through the VoIP Providers list and selecting your Provider. After selecting the Provider go to the Outbound Parameters tab and enter:

  • SIP Field: From: User Part
  • Variable: Custom Field (Enter DID inside Custom Value)

After entering the above information select Add/Update then Apply

  1. Go to the Appstore and download 3CX
  2. Select install
  3. The app will be installed automatically, if you are on your Apple Device

Configuring 3CX for iPhone

After you have installed 3CXPhone for iPhone, you must configure it with your IPComms (VoIP Provider) in order to make and receive calls. After you have obtained an account with IPComms, you must proceed to configure a connection to that account in 3CX as follows:

  1. Start 3CX by clicking on the 3CX logo, you will be prompted to create a new profile or use provisioning. To create a new profile manually click on Create Profile.
    1. Configure Name and Authentication Information as follows:
    2. Name: Configure a name to identify this account.
    3. Display Name: Enter your First and Last name here. This is what other callers will see.
    4. User: Enter your Phone Number (DID)
    5. ID: Enter your Phone Number (DID)
    6. Password: Enter the password you were given on your account for the current phone number.
  2. Configure User as (SIP Account)

    There are three states: 1)In Office 2)Out of Office Tunnel 3)SIP Account

  3. Leave the LOCAL PBX IP field blank
  4. Next enter your SIP Domain into the EXTERNAL PBX IP field. (ex.
  5. Make no changes to STUN or Proxy
  6. Click Done to create the new connection profile. This profile will now be displayed in the "Profiles" page. The account will also show up on the top right hand side of the dialer window.

Ring Groups and Call Queues

One of the important features of a Full-fledged PBX is brought out through the use of an IVR/Digital Receptionist/AA. After completing basic setup it is time to build some of the other important features within the PBX.

If you have not activated the license, be sure to do so as this will unlock several features such as: Ring Groups, Dial Codes, and many other features within the Advanced Settings tab.

Setting up a Ring Group

  1. Ring Groups contain 3 main sections: General, Ring Group Members, and Destination if no answerInside the General we will create a Name and Ring Strategy
  2. Next we will add our extensions to the group, and set their priority.
  3. The last thing that needs to be done is set the destination for unanswered calls to go, calls can be sent to different destinations such as: Extensions, Queues/Ring Groups, Digital Receptionist, Extension Voicemail box, or an outside number.
  4. Repeat this process to create additional groups

Setting up Call Queues

  1. Creating Call Queues consists of the following Settings: General, Call Queue Agents, Destination if no answer, and other options.
  2. To begin we will create a Name, Polling Strategy, and Ring Timeout.
  3. Next we will add our extensions as part of the queue.
  4. After adding our extensions we will choose the Destination if now answer this destination can also be reached if the caller presses the *button.
  5. Next we can choose some additional options like the Maximum Queue Wait Time.

Configuration Instructions:

  1. 3CX can be downloaded from For the purposes of this configuration guide, the version used is v7.1.6391.0.
  2. Once you have downloaded the installer, open the file and the setup tool will launch, guiding you through configuring your 3CX. Make sure your computer has the necessary requirements to sustain the PBX and click next twice.
  3. Agree to the EULA and click next, then select an installation folder for the software and click next. You will then select a web server. You can use the bundled server Cassini without having to install additional software and click next. Then click “install” to begin installation. Once installation is done, click finish, and the user settings wizard will open
  1. Next, select the language you will use and click next.

  1. Now, create a New PBX and click next.


  1. Select the number of digits for your extensions. 3 is default but depending on the number of devices you will be using you can use less or more. Click next.

  1. In this screen you will enter your server or domain. Enter your public IP address or domain name. DO NOT enter your local IP address beginning in

  1. This next screen is for setting up your voicemail. When callers leave message on your PBX you will be notified via e-mail. Enter your SMTP server and e-mail address and click next.

  1. Here you will create your administrator account. “admin” is the deafult user name which you may change. Enter your password twice and click next.

  1. From here you will create an extension for calls to ring to when they enter your PBX. This is where you will define your VoIP phone, softphone, or other device for answering calls. Click add.

  1. Type in your extension number (100 is default). The rest of the fields are optional, and may be filled out if you wish. Click add. You will go back to the previous screen and you will now see the extension you just added in the extensions list. You may add more extensions depending on the number of devices you will be using. Once you are done click next.

  1. The operator extension is the extension used when someone wishes to reach the operator. Select accordingly. This feature may be disabled later. Click next. The next screen will inform you that 3CX is able to configure your settings for specific VoIP providers. Click next and 3CX will prepare the information and load the stored provider settings. Once all the steps are done and you see the word finished, click next.

  1. You will then be asked to register your copy of 3CX. This step is optional and may be skipped.

  1. You will now see a congratulations screen that setup is complete. Click finish. 3CX will then open up two web pages, one on getting started with 3CX and one for your phone system manager. This page can be accessed in the future from the START menu.

Setting up an IP Communications Trunk (IP Comms sample trunk config for 3CX)

  1. This is the first screen you will see every time you open 3CX. Type in the user name and password you created during installation and click login.

  1. This is how your home screen will appear. Notice the extensions you setup during installation now appear in the main window. From here you will need to add your IP Communications trunk, so click on VoIP Providers in the file tree and then click add provider in the main window.

  1. From here type IP Comms in the Name of Provider field and select the radial button next to Generic VoIP Provider and click next.

  1. You must now enter the hostname for IP Comms and the server port. The server hostname can be found in the provisioning letter sent to you by IP Communications under “Originating IP.” The port is always 5060. Because IP Communications provides inbound service only leave the outbound hostname blank and click next.

  1. In this screen you will enter your DID and registration information.  (You will either use IP Address authentication or SIP User Authentication, not both.)

For IP Address Authentication: If you have signed up for a FREE DID or a paid account with IP Authentication (meaning you did not receive a SIP Username and Password), enter your DID in the external number field and authentication ID field. Leave the password field blank.  Then enter the maximum simultaneous calls (ports, lines, concurrent calls) you have been provisioned and click next. 
For SIP Username Authentication: If you have a paid account with SIP Registration, enter the user name and password provided in the provisioning letter you received. Then enter the maximum simultaneous calls (ports, lines, concurrent calls) you have been provisioned and click next. 

  1. Next, select where you will have the call ring to once it enters your system by selecting an extension you have already created from the drop down menu and click next. The last screen will be for outbound dialing. Click Skip to this screen. You should now see IP Comms in your VoIP providers list.

  1. Click on the Extension Status link from the file tree to make sure your extension is registered successfully and you are ready to receive calls to your DID.
